There are several filing systems; some are very complicated only understood by the person who set them up while others can be very easy to understand by any one. Make your filing system as easy as possible with proper labels in bold letters, easy, clear and understandable so that even others want to retrieve some file they are able to do it without any hassles.
Categorize your Filing System into working, reference and the deep freeze (archival) files. Working files are those that you require very often and should be easily accessible. They should be kept in a closet where you keep your paying bills and handling correspondence.
The reference files are those that are needed very often but not like those of working files. You can keep them in a separate closet or in a divided section with working files. The deep freeze files are those that are of no use. These files should be kept away from the working and reference files.
